I'd like to welcome you, our exclusive brokers, to this event and demo about a new benefits administration technology. We're glad you could join us today. Now I get the distinct honor of introducing Crystal Cartier, our sales engineer, pre sales consultant, and then I also like to call her our demo expert. And I love saying that because it sounds like she's blowing things up, but what I've decided she's really doing is actually blowing your minds with a lot of the information she's going to share today. Before we jump to Crystal though, let me share some information with you about FLAC and what it is. So our agenda, we're going to cover some background of this product, what Flock is, integration, what makes Flock a better solution. We're going to bring Crystal on for that demo, Then we have some contact information for you to get a hold of us. Also, please note that we will ask you questions throughout the presentation that we hope you'll respond to. One of them will be if you'd like to talk to somebody, you're going to click yes and we'll have somebody reach out to talk to you further about this solution. So background on FLAC. FLAC benefits administration by paychecks is what I'm going to call it for you today. It was founded by an HR professional for broker professionals to support client HR teams. It actually launched in 2015 and Paychex acquired it in 2021. And I know that Paychex is also a broker, right? So let's just take this right off the table for you from the start. There may be concerns that you have as a broker that we would reach out to your clients. What I want to share with you is we put every fail safe in place so that hopefully that does not happen. In our CRM, if you are a broker doing business with FLOC, we indicate that so our sales reps will not reach out to your clients. If by chance a sales rep does reach out to your client, we ask that you just connect with us and let us know that happened and we will cease and desist immediately. So the goal of FLAC is to help employees efficiently manage their workforce and for employees to better understand and enroll in their health insurance benefits. We have HR leaders seeking solutions that allow them to increase efficiency and automate tasks. And when Crystal does our demo in a few moments, you'll be able to see what we're talking about. So again, in a few short words, FLoC is a benefits administration tool that simplifies your life not only as a broker, but but also for your clients and their employees. It's going to seek to increase efficiency and automate tasks for you. Today, clients, and I'm sure you all know this, face more complex benefit administration issues with remote workers needing online support, changes in covered population, and compliance with new legislation. SLAC delivers an experience for employees and the employers by giving them the tools to support what they need to complete their benefits administration tasks. Some of the key benefits of the platform is that it's mobile friendly for both brokers, admins, and the employees. We can provide it available in Spanish as well as English. Employees can use it to connect with you or your clients directly and the feature and that's a feature that we know that you might greatly appreciate. We have a dedicated broker portal that we'll speak to you in a little more detail later. So integration. Whether your clients use I don't think I want to say this no matter what payroll provider your client use, Slack integrates with almost every platform. Our integrations reduce inefficiencies and provide prompt service for clients and their employees. It should reduce billing errors, have the potential to have significant dollars, and reduce data entry errors that could arise from utilizing multiple systems or, let's be realistic, pay for applications. By integrating your payroll deductions are updated from FLAC and employees are automatically added into the system. These integrations allow for real time updates, which can be crucial in avoiding delays as employees start to get their coverage. So what makes Flock the right choice? It's an easy to use platform that simplifies and modernizes the benefit process from onboarding to offboarding employees on their benefits through a modern user interface. The platform can be set up and delivered to brokers and business owners within two to four weeks and the FLoC platform provides a paperless and automated system to help you manage sometimes painful but important administrative tasks. We're all about simplicity and we are keeping our pricing simple as well. There are no large upfront set of fees and we have a people model for you to utilize. As you can see from this slide, it's truly excellent that companies are built by teams that are fully in sync. They require time, focus, and relentless execution. Complex policies, mundane paperwork, and difficult to understand health care benefits are a hindrance to execution and momentum. FLAC is going to help business leaders in eliminating those administrative inefficiencies and paperwork while engaging and delighting their employees. Almost last but not least before we dive into this demo, if anyone is out of the office they can utilize the mobile platform. So if they don't have access to their laptop, they'll have their mobile phone with them. They can click through the mobile device and it's going to give clients and the employees an additional way to stay on top of their tasks as well as review updated information. I think the thing that I like most about this component is as an employee that does take benefits from my employer, it gives me the ability to speak with my partner at home about the benefit options that we have and enroll from my home or at least make sure we can view what we need to view in that moment. So the broker value prop. This is what we really have you here for today. We often get questions from brokers as why do I need this or how is it going to help me? Well, we believe that our technology coupled with your insurance expertise can make your brokerage business soar. So how will we do this? You're going to ask yourselves. Well, one way is by increasing enrollments and plan utilization across your book of business. Employees will have a greater awareness of the benefits provided to them, which can prompt higher enrollment and utilization, leading to more premium and revenue for you as the broker. Another way is by offering a command center with a centralized view of all of your clients in one easy dashboard. I know many of you may not have that today, so if that's something that you've been yearning for in a benefits administration platform, we can provide that. PROC provides levels of control over client information through customizable roles and permissions. Through the platform, you'll have easy to use support tool for brokerage staff to service your clients. With that, I'm going to bring Crystal on screen. I'm going to disappear for a moment and Crystal's going to walk you through the demo. Crystal, do I have you with me? Absolutely and thank you Stephanie so much. Good afternoon to everybody. My name is Crystal Cartier. I'm a sales engineer with Flock, and I'm very excited to be able to share with you our Flock benefits administration solution today. As Stephanie shared with you earlier, Flock is a really robust benefit administration tool that goes beyond supporting your employee's benefit enrollment and gives communication tools and support tools for both you, the broker, and your clients from an administrative role. I'm gonna share out my screen, and as I share my screen, we're gonna begin from the employee's experience and then walk through to what your clients, the administrators will do, and we'll save the best for last, the broker portal, and how you'll be able to really have control and support for your administrator clients. As we share at the screen, this is an employee's experience. My employee here, Kristen Bank, is newly eligible. As soon as the employees log in to their flock experience, they're greeted by this welcome screen. It's gonna display to them a summary of their current benefit enrollment. Because Kristen is newly eligible, she's actually being guided to go and enroll directly in her benefits without having to dig through the site to find where that enrollment process is. Once her enrollment is complete, this area is gonna display for her all of the benefits and plans that she has selected so she can see right away her current enrollment status. On this screen is also gonna be a communication tool where you and your administrators will be able to send out broadcast messages to the employees, as well as conduct polls so that you can get anonymous feedback from the employees. Let's say there's a new benefit offering you wanna put in place, Let's get feedback from the employees on what they would find most beneficial. On the left hand side of the screen is how they're gonna navigate through the site and be able to access the different areas of the Flock platform. Employees will have a section where tasks are going to be automatically generated by the system, tasks like newly eligible open enrollment periods, tasks like evidence of insurability forms that need to be completed. It's also gonna be an area where you and the administrators can manually assign tasks to employees as well. In the benefits section, this is the benefit world for the employee. It's how they're gonna access what their current enrollments are. It's where they're going to be able to view them as well as maintain them. It's where they'll be able to see their dependents and manage their beneficiaries. Right from this main screen, again, this is a newly eligible employee, so it doesn't have their current enrollments except for the core legal plan that their company offers. But right in the upper right hand corner is where they can go to enroll and update their benefits. And this is where they go for all activity. During the plan year, if they have a life event, this is where they would go to update that life event. And if they were going through open enrollment, this is where they would go to update those open enrollment benefits as well. Through the enrollment update process, this is going to guide them through the different benefits that they are eligible for enrolling in. Within the Falk Benefit Administration Portal, it's important to us to make sure that the only benefits displaying to an employee are the ones that they're eligible for. And that's going to be designed by different eligibility groups, so this way the employee is only going to see the different benefits, plans, and rates that they need to be selecting from. Throughout the enrollment process, the platform allows for communication and education tools. Right up front, you have the option of a welcome message that can display unique information about this client's benefit enrollment process to the employees. It can embed links to other sites, even videos that can give step by step instructions, or even new benefit enrollment videos that you and the client can put in place for the employee. On the right hand side is gonna be a cost summary. So as the employee is making their benefit selections, this is gonna let them know what that deduction is gonna be from them per pay period with that accumulative total for them as well. The basic information on the left hand side would just be their demographic details. They'll be able to manage their dependents, so these are the individuals that they need to enroll into the different plans. And then as they access benefits that they're eligible for, this is gonna present an additional communication and education opportunity for you, the broker, and your clients. This gives you the opportunity to put in unique instructions that are specific for that type of benefit. It allows for the embedding of links, even those videos again. Within the site, it will display the dependents that qualify for that benefit. Dependents can be added into the selection by clicking to select or clicking to unselect their enrollment in that particular benefit. We can embed prescreening questions. Eligibility helps us to decide what benefits this person qualifies for. Prescreening questions and eligibility questions help us to further that. Maybe you have rates that are specific to tobacco users or other factors that need to display the accurate plan information for those employees. Within each benefit type, the plans that they do qualify will display. They'll be able to get quick information around deductibles, co pays, what their employees per pay period contribution is. We can even display the employer's contribution if they want that information to show. Within each section, there's gonna be plan details. I can go further as an employee, get more co pay and deductible information that's important for me to know when choosing a plan, as well as links to the full plan summaries. That way I can dig even deeper. Maybe there's something I know I need covered that year. This allows me to make sure this plan is gonna give me the best coverage possible. Within the site, there's also gonna be a comparison tool that assists employees in that final plan selection by allowing them to choose plans and look at them side by side so they know that they are making the right financial fit for the plan that they're selecting for their family. Within each benefit, there will also be the opportunity to waive coverage. When selecting that option to waive, there will be that reason drop down so that they can select one of the applicable reasons, keeping your clients compliant from both a carrier and ACA reporting perspective. Once an employee selected the plan or waived the plan, save and proceed guides them through to the next benefit for them to select from. Check marks let them know what they've completed as they go through the process. We can build in all types of savings opportunities within the FLOC benefit administration platform. Things like your medical FSAs, dependent care FSAs, HSAs, HRAs can be put in place so that employees have the opportunity to see what is available to them, communicate what that annual maximum election amount will be. When employees select that annual contribution, it will communicate to them what that per pay period cost is. The Flock portal does also allow employees to select on a per pay period basis for their contribution and have the system analyzed from there. As employees go through the process, the system is also going to have product rules in place as well. If an employee has for an HSA, that's gonna be communicated to them based off of those different rules that are in place. This helps protect the employee from enrolling into different plan types that they wouldn't qualify for based off of previous elections. Throughout, we'll also be able to put in all of the different supplemental insurances that are offered as well, whether it's long term disability, short term disability, life insurance plans, pet insurances can all be put in place so that employees know their full benefit scope and can select the coverage they want. When it comes to things like life insurance plans, we're going to use this opportunity to not only have that specific instruction area, but also give guidance into guaranteed issue amounts, that they're fully aware of what that is. And as the employee makes their selection, if they select an amount over that, this is gonna pop up that warning, letting them know about the evidence of insurability process, telling them and communicating right here to the employee that this needs to be completed and provided to their carrier or HR team as soon as possible. The system even has the option of embedding the form right in the enrollment flow for the employee to access, and if your provider for the life insurance plan has an electronic evidence of insurability process, we can embed that link in here as well. Throughout the process, employees will get notifications of what is still needed based off of the selections they've made. When an employee makes it to the review and submit area, it's gonna scan through, and it's going to let them know if there's any area that they haven't made a selection within. The FLOC benefit administration system really wants them to know that they are choosing or waiving those particular coverages or filling in any necessary pieces. So before they can finalize and submit, they need to go back and complete. It does allow for start and stop though, so during their open enrollment or newly eligible, enrollment windows, they can exit enrollment and pick up where they left off. This gives the employee the flexibility to maybe start the process in one location and then go home and finish that, up later after they've talked to their partner or gotten additional details on who those beneficiaries should be. Within the flock benefit administration portal, employees will also have access to any reference documents that have been made available to them. This could be things like plan summary statements or copies of evidence of insurability forms. There's also going to be an English toggle built in down in the bottom left hand side that allows them to go between English and Spanish right within the site, and help features as well. If an employee needs help on how to do a life event or how to update a dependent, there's gonna be step by step instructions built directly into the platform for them. As we've mentioned before, Stephanie's mentioned it, I'm gonna bring it up right now. One of the really great features is having that mobile access. Whether I am an administrator, a broker, or the employee, I'm gonna be able to access all of this information directly from my mobile device. And this is going to mean on the go, on the couch, I can pull up my phone and get the enrollment process in place without losing any of the functionality that I would have if I was seated at a computer. Let me just pull this up. Disconnected while we were waiting. Within the mobile experience, there's no loss of functionality, and the whole flow keeps it the same as though you were in that web experience. Meaning, as an employee, I'll see right away that message board. So I'm gonna be able to see those communications and broadcast messages that my employer or you, the broker, are trying to send out to the employees. It's gonna give that same ability to interact in any of those polls, access those tasks that have either been system generated or manually assigned to me, access to those reference documents. It's even going to give me insight into the that benefit piece. This is where I can go and do the full management, start to finish of my entire enrollment process. So it's great. If I had a life event, probably not at work, now I can manage it right from my mobile device. Now that we've been able to see how easy that employee experience is to use, let's take a look at what your administrators, your clients are gonna be able to do to help support, manage, and report on their employees and their benefit activity. When employees log in to the Flock portal, right away they have a home dashboard that gives them instant feedback on the employees in their account, who's eligible and who's enrolled, as well as live up to date feedback on the different participation rates of the plans that they're offering. This main screen is also where they'll be able to see anybody still pending enrollment, access to any of the reports that they have scheduled, as well as that broadcast wall where they can type out messages, who those messages should display to, whether it's just a group of individuals or their entire staff, as well as create those polls and who should be participating in them. Just like we saw on the employee side, administrators will be able to navigate on the left hand side to the different areas within flock. A task section for administrators allows them to see any tasks that have been created by the system for them to complete, as well as any tasks that they have created for themselves. It's also gonna give them the ability to see the tasks that are out there for their employees. Again, many of these are gonna be system generated, but it's also to give them the opportunity to create a new task, whether it's for one employee, a group of employees, or their entire staff. Your administrators will be able to access their employees' demographic information. With that powerful payroll integration that Stephanie had talked about before, much of this information is gonna feed directly in from the payroll providers, so they're not gonna have to manage it here. But within this portal, they will be able to add new employees to the Flock site manually or access a task section that is unique to that employee, as well as a document storage section for that person as well. Great place to store things like evidence of insurability forms or supporting life documentations for those life events. There's also a change history that gives them a full audit history of any of the updates that have been made to the benefit enrollment process for that employee as long as they've been using the system. Within the benefits section, this is gonna give the administrator the ability to help support their employees and see where their enrollment process is. Within this screen on the employee section, they can access by either typing in names or scrolling down to an individual, and this is gonna show them a benefit screen that looks just like the benefit screen that their employees would access. This way, they see what the employee sees if the employee ever needed assistance. From here, the administrator can even act as. They would be able to see what the current enrollment looks like for that individual, see and help manage the dependents and beneficiaries, download an enrollment summary, as well as assist in the enrollment process, whether the employee needs help newly eligible, a life event, or during the open enrollment process. Administrators also be able to extend enrollment windows for individuals and create a sandbox environment. So if they have to test out certain enrollments on a person, this gives a safe place to test those enrollments without making any permanent change. We'll be able to display your broker information and the team that is supporting them so they have a quick way to contact you and have that information at hand. In the plan section, this is where they'll be able to see the plans that have been set up for their account prior year, current year, and next year. Within each benefit category, they'll see the different plans, see the different eligibility groups, access a summary of the setup of that, as well as quickly see who enrolled in that plan type. In the next year, once we've built out that open enrollment window, this becomes not only a place for them to see that plan detail, but also to track and monitor the progress of their employees through the open enrollment process. The system's already gonna generate reminders when open enrollment is open, but this is also a way now for you and the administrator to come in and be able to send out manual reminders as that open in window window open enrollment window is about to close. In the eligibility groups, this is where the employer, your administrator is gonna be able to manage those different groups that make employees eligible for certain benefits. They'll be able to view any pending life events. This is gonna give them access into who, what, when happened for that pending life event with the ability to be able to review all of the details, access any of the supporting documentation, see the changes that they've made, as well as accept or reject that item. We'll also be able to display carrier connection information to them, letting them know that they are set up for those particular carriers, as well as access to the last time a file feed was sent to them with the details of what was sent to that carrier. Within the reporting section, administrators now have access to some pre built reports for both current year as well as open enrollment that allow them to access everything from census information, evidence of insurability forms that are missing, even payroll history change reports. They are able to come in and run any of these reports on demand or even schedule these to run on a regular basis. If they need this report weekly or monthly, they can set it and then just have the system automatically generate it. In custom reports, this allows them to build a unique report, whether it's internal or external processing based off of any of the fields within the flock benefit administration portal. And our billing reconciliation suite is gonna be a great partner for both you and the client because we'll be able to set up the billing cycles for the different benefits that are being offered and have a list bill summary and detailed list bill auto produced each month for that reconciliation process. And the reference document section, this is where administrators will be able to see all of the documents that are set up within their Flock benefit administration portal, as well as give them the ability to upload unique documents into the site, choosing who they should display to. Once they've uploaded that document, should it be just administrative level, which eligibility group should have access to that through their login? And then down in the bottom left hand side, they also have that language toggle to be able to go between English and Spanish, as well as help features that will allow them to get answers as well. How do I approve a life event? How do I create a custom report? The site has those step by step instructions. And then settings allow them to set in place special role management rules to give unique access to different administrators, as well as control what notifications they want sent out of the flock benefit administration site. Now that we've been able to see how easy and simple the system is to use for both the employees and administrators, as I'd said, we'd saved the best for last. We're gonna go into the broker portal where you and your team can have a single dashboard to be able to maintain all of the clients that are utilizing the Flock benefit administration system. Within the broker portal, this is gonna give you a safe space to be able to support your clients, their employees, and all of the different benefits that are available to them. Along the top of your screen, all of these tabs guide you through the different areas of the site. From your client tab, which will display all of the different clients you have set up utilizing the Flock platform, a user tab that allows you to have your own internal user management to be able to give unique access to the different, brokers within your organization and the clients they should be accessing, the ability to run reports just like we saw at the administrator level, but now even pull them in and do multi client reporting, as well as be able to access any of those EDI carrier connections that are set up for your different clients and be able to see and access those file histories of what's been sent over. In the client tab, being able to access your clients, click on the name, click on the picture, this gives you that behind the scenes details of the client's site. Throughout the site, you'll have additional areas of access as a broker in the product section. This looks a lot like the benefits screen that your administrators have. Seeing prior year, current year, and open enrollment plan setup, you as a broker are gonna have access to a lot of setup and support in the background as well. You're able to set the enrollment sequence that the employees see during that benefit enrollment process. You can add new plans to your clients. There's even the opportunity to do a quick renew or clone of plans. So if you need to just renew year after year, this will assist in that process. You can even clone plans from other companies to again guide through and make plan setup even easier on your other accounts. As a broker, you'll be able to help with the product maintenance as far as plan setup. So what rates, what rules are in place. You also have the ability to edit those instructions that are communicating out to the employee. Those instructions you saw at the beginning of that employee's flow that let them see videos and links, we'll be able to do it for the entire enrollment process as well as the unique instructions for each one of the benefit types. Within here, you'll be able to access employees much like your administrators will, so that you can also be a partner in being able to assist in what that enrollment looks like or assist the employees in any questions that they might have about their benefits. So being able to access their enrollment screens, dependents, beneficiaries, just like the administrator has the access to do. The product bundles allow you to create or have insight into the different links that are set up within the account. So any of those special rules that need to be in place that drive, what employees could be enrolled in based off of previous elections. You also have background insight into the different eligibility groups that are gonna be set up on those different client accounts. You can even create new groups and manage what defines each group within that client site and makes that person eligible for those benefits. Just like we saw at the administrator level, you also will be able to help manage and support the reference document area by being able to access the reference documents that are there, but also upload the ones that need to be in the site. Just like we saw at the admin level, you'll be able to decide is this going to be a reference document that's just administrative focused, or is there an eligibility group that should be able to access this information as well? Another key feature for you as brokers is being able to assist your clients during the login process and access process of the employees utilizing the site. You actually can be a partner in this if there's ever an instance where an employee is missing their invite, that they should have received when they were first set up. Maybe they need a password reset. This allows you to see all of the active users within that client's account and help manage that process for them. Within each one of your accounts, you also have the ability to act as an administrator. Just like you could act as an employee and the admin can act as an employee, this blue icon right next to your clients' names will allow you to go into the administrative view of those accounts and be that partner to the administrators, walking them through how to utilize the site, how to run those reports, and how to best manage and get the most out of the FLOC benefit administration portal. As we've gone through all of the different areas within the Flock benefit administration site, I hope that you can see just how robust the system is with also providing a really easy to use solution for not only you, the broker, but your clients and their employees. So the one that's standing out to me today, which I think is amazing, is the renewal component where they can clone or copy other plans from, you know, this is made it with a different client into the client they're working on. I forgot about that and it's such a cool feature. Seriously. So thank you. I want to keep you with me because whether you know it or not, non stop questions coming in while you were talking. So what I'd like to do is between you and I go through some of those questions and answer them. Will share we promise to keep this to about forty five minutes. So if I'm correct on my time, we probably have about eight or nine minutes left. So we're going to try to get through as many questions as we can in this short amount of time. Before we go to those questions, I did promise a quick poll during the presentation. But we're always going to be here to support anything you may need. So the first question I have, and I think I can take this one Crystal, but don't leave me. Basically the question is, does your pricing include any EDI connection fees? So we did cover this a little bit earlier, not the EDI connection fees, but we were asked about the we talked about the all inclusive pricing model. And so that is designed with no setup fees and then also no EDI connection fees. So answer one is no extra fees, which I think is awesome. Our next question. How many days before open enrollment would I need to get you new plan information? Do you want to take that one, Crystal? You know what, Stephanie? Yeah. I would love to take that one. As you could see, the site is really easy to use when setting up new plans, but what we do ask is a two week lead after you've received the required information and prior to open enrollment in order for us to implement those plans. Awesome. Thank you. I do have another question coming in. That is, is there an option for defined contribution? So I can take that one. Yeah, got this one. No worries. Ahead, The administrator can enter an amount that can be used towards medical, dental, and vision benefits. So whatever portion is not used is reflected in the reporting system, and the admins can pay the remaining amount via payroll back to those employees. So if they go over the allotted amount, the employee would automatically see the contribution that would need to be required for them to cover within the enrollment flow and will reflect in reporting as well. So what I like about that one is the employee is getting feedback while they're in the moment doing their contributions. So they're going to or doing their elections, I should say. So they're going to know if they actually have to pay into the plan or if their employer is covering at all, which I think is great. Let's see. Oh goodness, we're doing great. I'm going to kick this one over to you, Crystal. So it's how often do the files feed? Oh, excellent. So we send our EDI files once a week on Tuesdays. We do advise that clients have their data or changes entered and updated into the flock application by about 5PM on Monday, Pacific time. So if you're East Coast, you have all the way to eight p. M. On Monday. But that way we can start, generating the files so that they're ready for delivery on Tuesdays. That way they're ready to rock and roll without any issues or missing information.
