I'm your host, Rob Parsons, and we're excited to share the product demo you'll see soon. First, I wanna get to a little housekeeping here for you. Note that the primary audio is going to be coming through your computer, so make sure you have that set correctly. Also, sometimes you have to refresh your browser to make sure the webinar and the console are working correctly. Here's some key commands here to help you do that. If you experience any technical issues during the webinar, just click the help icon in the console dock. So a couple other things I want to touch on is that we have files and resources. You can download a copy of today's deck, and you can see other resources we have available to you, and you can get that at any time during the event. If you don't see it, you can turn it on by selecting Files in the dock at the bottom there. Also, if you have any questions during today's webinar, you can send them via the Ask Us a Question window or Ask Us widget located at the bottom of your webcast screen. Now, we're going to try to be fast and tight today so we may not be able to get to all the questions, but if you do have one, just write your question in and click Submit. Of course, this presentation does not constitute legal advice. This is for informational purposes only. And now I'd like to introduce today's presenter, Dan Hinman. Dan has been with Paychex for eleven years. He began his career in MMS sales out of the Brooklyn, New York branch, and he has since transitioned into sales engineering, where he gives demos to prospects and customers to help them understand how the products can really work in their environment. So Dan, I'm going to hand it off to you to take us through what we're going to go over today. Thanks Rob, I really appreciate it. Yeah, today we're going to talk a little bit about Paychex Flex Service experience, Things that you're going to learn today. You know, this is a 20 fourseven tool. Employees are going to have access to their platform anywhere in the world, at any time. So that's 20 fourseven service from my phone, from my tablet, from my desktop. So you'll be seeing some of those different views today. Additionally, we can also roll out some of our ancillary tools, you know, if we need to have HR related tools or benefits related or retirement related enrollments through self-service. Those are other areas that we're gonna be able to help with. Right, so what sets Paychex apart? A really customizable solutions. Only pay for the things you need when you need it. Right, we have a scalable, you can start off with just payroll, but you can also add features potentially as you grow. Perhaps you expand to onboarding or time and attendance, some of our other HR tools. It's very easy to use. You can run payroll from anywhere in the world in seconds through the mobile phone or desktop on our award winning platform. We'll give you peace of mind. We've been doing this for forty years. Automated tax calculations, filings, federal, state, and local filings. There we're all going to be helping you with that as well as labor law compliance. And lastly, flexible support. So from self-service resources all the way to payroll specialists, one on one help that you'll receive, Paychex has a deep set of resources to help clients understand the system and get the help they need. So let's dive in here to the live demonstration, and I'm going to share my screen here with you. And we are going really start off with the employee experience from the mobile app. Okay, so when it comes to Paychex Flex, employees can go again right through their phone, most notably to see what's most common check stubs and W-2s. Right, they can access that from the palm of their hand. There's no need to go to their HR department or their payroll department. On top of that, I'll have the W-2s, so during tax season, very easy for me to go in here quickly grab that information. In the top left side here, there's a menu, right? That menu gives me some different access points, so to things like my profile and my pay, you know, I need to change my address or I want to update my direct deposits or my withholdings. Again, no need to contact HR, we can do that all right through PageX Flex. You also notice here that I have some other tools available, right, like my time off. So I could always clock in and out through Paychex Flex. Could have a clock here. Could also see time off requests. Maybe I'm planning a vacation date. Right, I could be sitting on my couch at night watching the ballgame on TV, planning my vacation, and I could just send off my vacation request from there. And I should also mention text messages, emails, push notifications associated with all of our tools. So you know maybe a manager gets a text about that time off request and I get one right back letting me know that that's been approved or denied. Alright, flip over here to our desktop view. Again, I'm actually in the same exact account. It's just looking at it from a different perspective. It's one of the nice things that's flexible about our system. Now some of the HR tools here would represent things like events calendar, custom fun events that you can notify employees about, they can see that here through their desktop. Additionally, we can engage in conversations with employees. You know, that could be anything from positive recognition to perhaps a written warning. The nice thing is those employees can respond to that conversation, we can capture that in writing. For our clients that want to cut down on employees, you know, reaching out informally to HR, right, we have this area called contact agent, maybe formal requests or questions to a group of HR individuals. We can also report incidents that happened in the workplace and go through our company directory to identify who was involved and what happened there. We are going to provide a series of HR tools around performance. So you will notice from that dashboard I can always track my goals and have an ongoing discussion with my manager about my goals and how I am doing. But I can also go on the left hand side here to my performance section. Know as a manager I could go here to do a performance review for an employee that is you know under my supervision or I could do a self review from here. These reviews are completely customizable. Can design the reviews, things like scoring systems or if it's more of a written review. Right. And then again, the employees can go right through that app from the palm of their hand or the desktop. Lastly, documents. If we want employees to sign various documents, you can always push those out, notify them, and they can put their acknowledgement on a document or they can upload a document. Maybe you need to get something from them. Maybe I'm on my app, I could take a picture of that document and get it right back to you. That would also come with a notification. Now within the employee experience here, a couple other things that Paychex is going be able to provide you with those is going to be our, training module. Alright. So an employee can always come here to see what trainings are still due, and then they can go right into our LMS and complete a training, whether it's sexual harassment, workplace safety, and we have a time. Finally, benefits and retirement. From a benefits perspective, an employee can always hop into their MyBenefits account and complete open enrollment, or maybe during the year there's a life event, or I want to get an update on information associated with one of my medical plans or dental plans. Maybe I'm having a procedure and I want to know what it's going to cost me. Those things are all there under the employee benefit account. This enrollment area I can choose things like my dependents, right, I can look through the different plans that my organization is offering me, and I can even compare those plans. So maybe there are certain level deductibles or certain co pays and that helps us determine which plan to go with. The great thing is as an employee goes through their enrollment and they complete everything here, they know on the right hand side exactly what's coming out of their paycheck. Alright, so they can expect that, and then that's actually going to update deductions in payroll for the administration using the software on the back end side. Alright. Now ultimately we can review and submit all of our, elections here and submit those and that's all going to go to the carriers. It's also going to again update payroll. Lastly, we have retirement. At PageF you can enroll in a retirement plan and we can become the record keeper and third party administrator. And from there, employees can go right into their My Retirement account and change things like contributions, see what their balances are, request loans, or update their investments. Maybe I want to do an auto rebalance, or add my dollars into other funds in the future. I can make all those changes here, as well as withdrawals, if I ultimately retire, or something along those lines. Okay, so those are really all the aspects there under Paychex Flex Employee Self-service, and that was really just the tip of the iceberg. So I going to stop sharing my screen now. We're gonna talk a little bit about the different service levels. All right, so the first is FlexSelect. As I was saying before, this is scalable. So if you just wanna start off with, let's say payroll, you really just need some of the tax filings done, that's a great option for you. Paychex Flex Pro, that's where we can up the expansion and some of your ancillary services there. So that would come with things like HR related tools as I showed you that events calendar. We have things like a handbook building tool that would go with that as well. And obviously that would encompass as well with your payroll. And lastly, Paychex Flex Enterprise can really just have almost wide ranging bundle that's going to include not just the payroll, the HR features, but also things like recruiting, onboarding, and being able to integrate potentially benefits features into that platform as well. So what we've learned here today and how to access Paychex Flex anytime, anywhere from your mobile app. We would just want to make it easy. We want communication to be easy and we want the workflow to make sense for administration to be able to for your administration to be able to handle employees in their requests. Alright ways to cut down on those interruptions with those HR tools. Again, we have the text messages, emails, push notifications associated with our HR time tracking tools to really help management stay on top of requests from employees. And then lastly, tying in benefits, not just letting them enroll in those benefits, but updating payroll when those benefits take place and sending that to the carriers or the plan providers on the four zero one side. That's great, Dan. A lot of great information there. Thanks again for taking us through all of those great self-service options. Really like how you touched on real big time saver for the HR professionals in the audience, having the employees take care of some of those things. Just give you just a moment to do that. Now we're going to get to some Q and A. We do have a few minutes here. I do want to be cognizant of everyone's time. So here's some questions that came in. This one is from Kathy, and she wants to know what notifications can my employees receive? I think we're all used to being pinged, being reminded about things that we have to take care of. Does Flex take care of that? Yeah, absolutely, Rob. And that's a great question by Kathy. You can go ahead and set up your preferences for text messages, for emails, for push notifications from the mobile app. That could encompass anything from, oh, I'm receiving my check stub and I'm getting a notification about it. Or somebody approved my time off request. I'm getting a notification about it and I can choose those different ways I describe as how I want to receive that notification. Right. And one that I know is probably pretty tedious for people helping employees is direct deposit information. I changed my bank, and now I have to go and see the HR people to change that. Do we allow that in self-service, selecting self deposit, the direct deposit, changing the bank, handling all of that? Absolutely. Employees can can control that. They can even take a picture of a check, and that can read their account number, their routing number, make it easy for them to upload and and add that information there. And then, yeah, that can be that can start right away. There's no waiting period. Paychecks does no pre noting. So, that can take place right away on the next payroll. Great. Now this one's from Rachel, who wants to know, can I restrict what my employees can access? And I think that makes a lot of sense too. Not everybody has free rein with this system, right? Yeah, it's customizable for a reason, right? Not everybody needs the same things from client to client with Paychex. So absolutely, you can create different user permission roles in our company settings area. We can also control what we want employees to see and not see. Okay, so that's all a part of the setup and definitely something that our system has robust access features for. Tremendous. And I am going a little over the 15, but I am going get one more question here from Jeff, who wants to know, am I able to set up approvals to prevent employees from messing up? I think it could be very easy to screw up my tax withholdings or any number of things. Even just my time off reply, but imagine there has got to be a layer of approvals in the system, right? Yeah, absolutely, you can create different approvals on things like tax changes or an employee changing their direct deposit. That can really go through any sort of chain of command or hierarchy that you want, And those changes that they need to approve can also notify them via text, email, push notification, just to tie that back into those. So yeah, absolutely, you can create that hierarchy or structure any way you'd like. That's great. I love it because now we have self-service, so I am empowering the employees to take the load off my plate, but I also have these guardrails, these controls to keep us from crossing any line.
