Hello, everyone, and welcome to this Paychex demo, Smarter Payroll with Paychex Flex. My name is Rob Parsons, and I'll be your host today. So first, I want to cover just a few housekeeping issues. Note that the audio is going be coming through your computer, so make sure you have that set correctly. Also, you may need to refresh your browser session, just to make sure everything's working correctly. We've got some key commands here on screen to help you with that. And of course, if at any time you have technical difficulties, you can use the help functionality and we'll have people help you out there. So, me look at a couple other important features of the console. You can download and print a copy of today's deck for future reference, and you can access additional resources in the files and resources window at the top right of your console. That's available at any time during the event. And if you have any questions during today's webinar, you can send them via the Ask Us a Question window. You just type in your question and click Submit. It's that easy. So I also wanna note that this presentation does not constitute legal advice. It's for informational purposes. And with that, I'd like to introduce you to Dan Hinman. Dan's been with Paychex for eleven years. He got his start as an outside sales rep in our Brooklyn, New York branch, and he's since transitioned into sales engineering, where he helps explain to customers and businesses how Paychex Flex works and can help their business. So, Dan, why don't you take us through what we're going learn today? Thanks, Rob. Appreciate it. Yeah, and today we're just going be showing you the technology, and what you're going to be learning is just a few key points here, right? How you can run payroll really from anywhere in the world on any device using Paychex Flex, navigating through various payroll tasks on your intuitive dashboard, making it your own and prioritizing those things. Instant access to your employees' information, earnings and deductions, demographic data, and being able to manage that. And lastly, automation that adapts to unique business needs, right? If you have a need for other ancillary products to integrate with payroll, say like time and attendance, right, we will also be discussing that as well. Now, some things that set paychecks apart. All right, a couple of things here, the customizable solutions. So really only need to pay for what you need, when you need it. So we have various bundles with not just your payroll bundle, but if you, again, you want to expand now to HR features and other expanded ancillaries with paychecks can certainly help with that. Scalable platform, right? So as you grow, you can just add other features to your existing payroll platform. Alright? So you can just maybe start small and work your way up if you want. And then easy to use, so running payroll really within seconds can even be from the palm of your hand through the award winning platform. Peace of mind, Paychex, we've been doing this for a long time at the federal, state, and local level. We're going to handle your taxes for you, make sure everybody gets paid properly, and just really handle things from the compliance perspective. And lastly, flexible support. Our bread and butter, where you'll have that one point of contact, that human being, that individual that you can reach out to at Paychex for help, they know your business and you get to know them as well. Alright, so from here what we're gonna do is hop into our live presentation now. Alright, and we're really just gonna start off with the Paychex Flex dashboard here within Paychex Flex. So a couple of things to just quickly start off with when we talk about the dashboard. Can access this on any device around the world, can be mobile. Our mobile app has about 4.8 stars today, if you go to like at the Apple App Store, but can also access through the same username and password here on the desktop. Anything you subscribe to, we talked about scalable solutions, gonna be listed there on the left hand side. So I can see, right, I'm subscribed to payroll, but maybe I have you know, HR tools or time and attendance, right, just listed there. And if you don't have those, they just simply won't appear. The features won't appear. Toward the middle of the screen, that's really where I can prioritize the things that I want to see the most. So we actually have a number of different tiles that could be here. I could add other tiles to my dashboard for things that I want to see, like analytics, for example. But right, you can also scale back your dashboard, make this your own, prioritize things where you want to see them. And a couple of the things that I should point out here, what we try to do is bring the things our clients tend to use the most to the forefront. So jumping in and out of a payroll at any point, being able to contact my customer service person or send them an email for anything. Any report in the system, whether it's as simple as pulling someone's check stub or I want to go and create a full on custom report using our live reports. And then at the bottom here, I have some analytics, right? And these are just things that as changes are occurring in my site, as we're running payroll or we're terminating individuals or hiring individuals, all those things are being tracked by paychecks. I can just add sort of live statistical information there to my dashboard. One of the areas that clients will get to know very well is this icon here at the top which represents my people list. Alright, and my people list is going to include all the workers for my company. Could be contractors, could be W-two employees, right, we can handle any of those. Also company contractors can be added here. And I can always search and filter through this list in a variety of ways. We will go ahead, we will take a look at Jim here. Jim is a manager in my company in this example. And when I first bring up Jim's profile, it gives me his business card. So kind of like a quick glimpse at details that I can just see about Jim. Maybe I get information here and I can just move on. But as we scroll down here, there's other areas that we wanna give our access to, to make changes to Jim's profile. Maybe I need to edit Jim's address or his contact information. This employment area is an area that clients tend to spend time on. Maybe I need to terminate Jim or he is retiring or maybe we need to change his supervisor or his position. You just have access to do those things, but also future dating items. Maybe Jim is going to retire next month and we just want to set that up in advance. Always future date items here when we edit details. Two other areas to mention that are, again, things our clients tend to spend time a lot in are the pay area, managing rates, salaries for employees, being able to update those and future date those, as well as the earnings and deductions. When clients come on board with Paychex, we actually will extract their data for them or take their data, and we enter all this into Paychex. So when you start on your first day, all your employees, it should be mirrored, their deductions, their earnings, whatever they are receiving today, that should all be set up and then you can edit that in an area like this from here. Finally, taxes, right? Paychex, we have been doing this a long time. As I was saying before, at this federal, state, and local level, we have all the tax codes ready to go. We have people here at Paychecks that are monitoring that stuff. If a tax code changes here or there in a certain state, we are on top of that. Over 700,000 clients, we're in all 50 states, we know the country well, and we know the tax codes well. So it can change those things right from this view. All now one of the things that I was mentioning before, we have our payroll here from this main dashboard, and I did wanna mention we can manage multiple payrolls or multiple IDs here at Paychex. We wanna be friendly to our clients that have multiple federal EIN numbers. So you can have multiple accounts with paychecks, and from that one account, just kind of toggle between them or run payrolls on those accounts. Gonna jump into this payroll here. Alright, and one of the things with payroll is how the hours get there, right? So, I mean, we have all the rates in the system, the deductions are set up so that we give clients kind of flexible access to just simply type in hours in this case, right? Jim needs to get his forty hours, right? I can just type in forty here or forty five, whatever that is, but we can additionally on top of that import time, right. If it is a CSV file, Excel based file, you can bring that in from like an outside time system if you are using one. And then finally, we have our time and attendance. So if you use our time and attendance, these hours are just simply waiting for you at payroll, almost like a human being went in and typed them in for you. So that is the relationship there. And the advantage that we have at Paychex being your payroll provider. Here in the grid, I can always search or filter for an individual, again, that same theme really there throughout the system, whether it's a report or the employee list. I can also change my layout, alright? So this is my layout showing me all the earnings deduction codes here in my columns, right, and then if I want to see other columns here, add other columns, can always toggle between that. The employees and their checks is really represented almost like an Excel sheet here where their checks are represented as that row. And then from here, we can make changes to that check or even add a second check or a third check for any one employee on any one payroll. Know, all clients ask us, can we cut a manual check-in the middle of the week? Or, can we do a gross to net check or a check with a supplemental rate on a bonus? All those things, we got you, we can handle that. Also, want this to be easy if you need to make a change, don't want you to leave payroll, right? So if I need to go into Jamila's account here and I need to update her direct deposits or her employee information, you can just quickly go in there, do that, jump right out of payroll there, Okay. So one of the things that we were going to show here is how you can review and submit payroll, how easy that is with paychecks. So when we actually go ahead and do that, when we go ahead and do that and we go to submit payroll at Paychex, we'll be presented with a screen like this, just with all of our data. If we want to see reports on that payroll that we just run, can always pop that open. Maybe I wanna see checks from that reporting perspective, or I wanna know how much I can expect that's gonna be pulled from my bank account for those payroll funds, the cash requirements report. I want you to have those sort of details in hand prior to actually pressing the submit payroll button here with Paychex, and then just general statistics so that I can get an idea of how things are looking prior to running that. All right, but we'll submit payroll. Everything can go on a fifteen minute hold. You can always go back during that buffer period and edit payroll. After about forty five minutes or so, you'll get a text from Paychex letting you know that everything's been processed. That's tremendous, Dan. That looked really easy. I love that, and I love how you can move around different areas of the dashboard, it's all right there in front of Yeah. You talked about scalability. You talked about different solutions, different levels of solutions for different sizes of businesses. Can you take us through some of the options that are available to customers and businesses? Yeah, absolutely. So, I mean, at Paychex, right, I mean, we have clients that really just need payroll, let's say, payroll and our tax services, things of that nature, right? Always here for those clients, can help you and have you on a bundle that fits your needs. But as you need to potentially scale up, right, maybe I need to add time and attendance or I need enhanced reporting, custom reporting, right? These are other things that are going be included in those bundles all the way up through having our full HR module, our full bundles there. So depending on the size you are or what you need initially, right, you can always just start with payroll and add on items or go with a full bundle that's going to have all the things you need initially there. That's excellent. I love that. Boy. So, let's get to what you've learned. I just want to do just a quick recap, because we covered a lot of ground here. First of all, we saw how we could run payroll effortlessly from anywhere in Paychex Flex. And I love the preview, so you know exactly what's coming before you click that Submit button. We saw how you can navigate payroll seamlessly through that intuitive dashboard. I also really liked how you can move those tiles around and really focus on what makes the most sense for your business. You can access complete employee payroll details instantly, and I loved how we didn't have to move around. It's like, okay, I'm there. I'm looking at it. I can make that happen. And then you also talked about automation, particularly around time and attendance, and how we can really just make that all automatic import and work really well for you. So Dan, you really covered a lot of ground. I thought that was great. We do have some questions coming in. This one does not surprise me at all. A few people have asked, how long is the setup process for Flex? Or what does it take to onboard with Paychex Flex? So can you tell me a little bit about what it would look like coming onboard with Paychex for the first time? Yeah. I mean, one of the nice things is Paychex is going to assign you a human being, an implementation coordinator. Their whole job is to set up new accounts with Paychex. People coming on board, gathering their details, putting that into the system for them, and then training them on that software. And really, it's a nice model there. You always have that person to go back to. They'll set up recurring meetings with you. So it's very involved, right, that person, that implementation coordinator that's working with you. That's correct. Usually takes about one to two weeks. Sorry. Okay. No, that's good. That's good. Well, it's not instant data. There's a lot of data, I'm sure it depends on how big and complex your organization is as well. Absolutely, yep. This one's from Jeff. Jeff wants to know, When is the latest that I can submit payroll? I saw it was very quick. You'd mentioned forty five minutes, but what is the latest that Jeff can submit payroll? Yeah, absolutely. So, paychecks can help with same day needs. Like if I'm in a pinch and I need to run payroll today, right, we can do same day or even next day payroll. Maybe it's last night and I was in a pinch, I need to run it. Just know that we can do those things. However, I would just say that, on average, we recommend the clients to submit it at least two days prior. So if I have like a Friday check date where I'm getting all the checks and those are getting to all the employees, probably by Wednesday, end of day, before then, we would want to have payroll submitted the paychecks. Excellent. I know a lot of business owners are also running accounting software, keep track of all of their expenses, bills, all of that that's going on. Payroll obviously is a big part of that, a big part of cash flow. How do I get my payroll data into my accounting software? Yeah, everybody has it, right? So, I mean, we have general ledger at Paychex where we'll actually take your chart of accounts, we'll map that out in the system for you, and then we will either provide you an import, like a file that you can import in your accounting software, or we have direct connections with accounting softwares like QuickBooks Online, you know, or Sage, where, right, we are just more pushing that information over more seamlessly. Either way, we run into clients of all different types of accounting softwares that we can help with. Excellent. Here's a new one. This is from Rachel. You talked about our mobile app and how it's highly rated. Rachel says she spends a lot of time entering information for employees. Does the mobile app give employees access to their payroll information? Absolutely, yeah. Employees can log in employee self-service where I could be sitting on my couch tonight watching the football game and check out my check stub, right? Or do other things. Maybe change my address, stuff like that. So absolutely, employees have access. In terms of getting the hours in the payroll, as we outlined a little earlier, right? I have that ability to just type in the hours. I can pre populate hours if it's something that's predictable for an employee, or we can go with more of an import option or the Paychex time and attendance software to really get that in in more of a seamless, pre populated way. Love it. So, a lot of automation, just really a lot of things designed to make life easier for business owners. 100%. Tremendous. All right, folks.
