My name is Eric Farran and I'm a senior product strategy manager here at Paychex. I do have to say a legal disclaimer. This presentation does not constitute any legal or accounting advice and is just for informational purposes. Today, we're gonna talk about tracking employee time and attendance. What it is, why track it, ways to track it, and what could possibly go wrong. At the end, we'll talk about the benefits of using a digital time tracking tool to help you slash errors, speed up payroll, and free your team to focus on what matters. Before we dive in, I got a quick poll for you to take. You'll see a pop up on your screen. There's no right or wrong answer. I just want to get a quick pulse check on how you're currently tracking time and attendance. Here's the poll. What is the main way you are currently tracking time and attendance? Punch cards, online time clocks like a fingerprint or facial recognition biometric device, pen and paper or Excel timesheets, a smartphone app, or honestly, you're not even sure how you're tracking it. No matter what you answered, I'm gonna walk you through the most common options available today. But before we do that, let's touch on what information is essential and what it's used for. So let's begin by looking at what's needed for thorough time and attendance tracking. Time and attendance tracking is the process of recording when employees start and end their work, including breaks and overtime and time off. It ensures accurate payroll, it monitors your hours worked, helps manage labor costs, and supports compliance with wage and hour laws. So why is it important to track employee hours? Time and attendance tracking is essential for accurate pay, compliance with federal and state laws, and making informed business decisions about hiring, reductions, assignments, and more. Strong time tracking is especially critical with remote and hybrid workforces. After all, what could possibly go wrong? Think of fines for noncompliance, payroll errors, disgruntled employees, labor intensive work and staff frustrations. This is just to name a few. Honestly, the cost for your business is likely more than you think. Let's look at some of these surprising stats on what inefficient time and attendance tracking could be costing your business. We recently asked business owners to estimate the amount of time they're spending each week on time tracking. That includes things like collecting paper time cards, tracking down employees when hours are incorrect, fielding questions about their total hours or time off, and time spent calculating total regular and overtime hours. On average, time spent tracking employee work hours and assignments can cost a small business at least $14,000 a year. And this jumps to over $37,000 each year for companies with more than 50 employees. This is roughly 10% of a business owner's or manager's time each week spent on tracking time and attendance. Remember, accurate time tracking is an essential function needed to complete the payroll process. There are more efficient ways to do this. Let's look at the most common. There are many tools for tracking time. From paper time sheets to basic punch methods and even more robust biometric methods. Depending on unique factors such as your business size or payroll system and HR needs, consider the following as you search for the right system. Punch time cards. Manual stamping. This option has a risk of errors and buddy punching. Proximity card clocks or RFID badge scan clocks. This needs a physical card on hand to record work hours. Biometric clocks such as finger or face scan which can reduce time theft. For instance, facial recognition is a great option for mobile work sites and iris recognition is a touchless and hygienic solution that works well in tough environments. Online timesheets through a cloud based application, Or smartphone apps, such as mobile punching, which have self-service HR tools and secure access. Whether you opt for a basic time clock method or an integrated cloud based system, having an accurate record of employee hours is invaluable. With the right time tracking method for your business, you can optimize your bottom line and help ensure that your employees can self-service, providing you with efficiency to allow you to free up time for your other work. Properly tracking time for your employees can prove difficult without a reliable, accurate, and efficient system in place. A good time tracking system should automatically calculate overtime, alert you to any errors, work within your payroll system, manage time off requests, integrate with employee calendars, support proper compliance, provide employee self-service, and help control business costs. And possibly most important, it should provide reliability. Even during business disruptions, your time tracking system service provider should help you navigate potential challenges and provide ongoing assistance. Whether you opt for a basic time clock method or an integrated cloud based system, having an accurate record of employee hours is invaluable. There are many benefits. If you could spend less than $60 a month on an automated system, what do you think you could do with that extra time? I used our online time clock calculator with a small employee size of five, kept the default values, and generated an annual savings of over $9,000 That is huge. With the right time tracking method for your business, you can optimize your bottom line as well as help ensure that employees are efficiently and effectively contributing to your company. So let's recap on what we've learned today. What is time and attendance and why is it essential to track? The hidden costs of manually tracking employee hours and how it could literally be costing your business thousands of dollars each year if you're using a manual or outdated process. And we covered the most common tracking methods available today. I hope through all this, I've made you curious about what we do.
